BOOKING TERMS AND CONDITIONS

Welcome to The Conscious Connection Retreat!

We are delighted to have you join us for this empowering journey of self-discovery and personal growth. Before you embark on this transformative experience, we kindly ask you to carefully review the following terms and conditions to ensure a harmonious and enriching retreat for all attendees.

Step 1

Read our policies.

We ask that you first read through and accept all our Terms and Conditions below and our privacy policy when proceeding with your booking. By sending us your Booking Form and Payment, you are bound to our terms and policies.

Step 2

Complete and submit your booking form.

Step 3

Proceed with your payment (payment details are under the Payment Terms section below). Please send confirmation of any payments made to us at: rachael@consciouscoachinguk.com

If a booking is made without payment of a deposit, either in writing or verbally, the booking will be considered not secure until the deposit is received.

Step 4

Your booking will be confirmed on receipt of the Booking Form along with the deposit payment or the full payment.

We will write to you within 48 hours to confirm your Booking. We will include a detailed pack with all the additional information you will need to prepare for the retreat.

We at The Conscious Coaching Group are very excited to hear that you are considering taking part in the The Conscious Connection Retreat in Bedfordshire from 3rd-7th April 2024. 

We will guide you through the whole booking process and share all the information you need in this document to make everything clear for you. Please find our Conscious Connection Retreat Terms and Conditions (‘Terms‘) below. Read the information carefully before proceeding with your booking.

By submitting your payment and booking form to us, you acknowledge and agree to have read, understood and agreed to the terms and conditions below (including the privacy statement)

To make a booking, you must be 18 years of age or over. Please note that we do not provide services for individuals under the age of 18.

We may make changes to the Terms at any time. We will provide notice of these changes through reasonable means, such as posting the updated version on our website or sending it to you by email.

This Agreement

  • These Terms will apply to your booking on The Conscious Coaching Group’s  ‘The Conscious Connection Retreat’ from the 3rd-7th April 2024 (‘retreat‘) as well as all the services we provide during your stay. Before booking, all individuals must read and fully understand and agree to these Terms.
  • These Terms set out the entire agreement between you (as the client(s)) and us and replaces all other agreements (including the previous versions) or promises made before about the same topic, whether written or spoken.
  • A binding agreement will only be in effect once you have provided us with all necessary medical information, made the required payment, and received a confirmation email from us.
  • If you are making a booking for a group, you agree that you have the authority to bind all the members of your party to these terms.

The Booking

  • We reserve the right to decline any booking request at our sole discretion and without liability.
  • It is essential that you check all details and names on the confirmation email and invoice and inform us of any errors without delay. If you do not provide us with this information, we will not be liable for any delay or cancellations.
  • Once your booking is confirmed, no changes can be made to the booking by you. This includes, but is not limited to, changes to the dates, the number of people in your party, the type of room, or any other changes to the booking. However, we understand that circumstances may arise which are beyond your control. If this is the case, please get in touch with us as soon as possible and we will do our best to accommodate your request.
  • Confirmation of your participation does not guarantee that the retreat will take place as scheduled. Therefore, we kindly request that you avoid booking non-refundable travel arrangements until you receive a confirmation email from our retreat’s team staff confirming the final dates and arrangements of the retreat.

 

Not a Therapy

  • By attending the retreat, you understand that it is not a replacement for therapy or counselling. If you are currently receiving professional help for your mental health, you should inform your practitioner about your plans to attend the retreat and let us know if necessary. You are responsible for your health and well-being and should consult with your doctor before attending if you have any concerns about your health, diet, medication, or medical conditions.

Medical Conditions & Special Requirements

  • Before proceeding with the booking, you agree to inform us of any medical conditions, pregnancy, disability or any other mental and physical condition that may affect your fitness to attend the retreat, including medications you are taking. Failure to notify us may result in you being refused certain activities during the retreat at your own expense.
  • While we will try our best to accommodate special requests, including dietary or physical limitations, it may not always be possible depending on the retreat. We reserve the right to refuse clients with certain conditions in such cases.
  • You are responsible for arranging travel insurance that includes medical coverage. Medical facilities vary from country to country, and while we will do our best to take you to a proper medical facility when necessary, we do not guarantee or provide any assurances regarding the quality of such treatment.

Travel Insurance and Other Documents from those travelling from outside the UK

  • We do not offer travel insurance for this retreat. However, we strongly recommend you obtain comprehensive travel insurance that protects against unexpected situations not covered by our Terms. This insurance should ideally cover you from the day you book your trip until the end of your trip and protect you financially in case you need to cancel, make changes, or have any accidents or health issues during your trip.
  • Before you travel, make sure your passport is machine-readable and has at least six months validity left before it expires. Your passport should also have enough clear pages for any visas you may need.
  • Make sure you read all the documents we send you and check that everything is correct. You are solely responsible for getting any necessary visas, international driving licenses, vaccinations, insurance and health documents.

Pricing

  • Retreat prices shown below are per person and are quoted and payable in GBP £:

          Single Occupancy: £2222.00 per person – (Early bird offers available)

         ( Double Occupancy rates on application)

The cost of your retreat experience includes the following items:

  • 5 days and 4 nights of luxury accommodation at Tofte Manor, Souldrop Rd, Bedfordshire UK
  • Breakfast, Lunch, 2 or 3 course dinner and drinks with meals plus snacks and refreshments each day are included.
  • All practices, workshops and experiences as shared in The Conscious Connection Retreat sales page details
  • Use of the facilities include the gardens and grounds, the Manor House Drawing Room, Library and cosy Snug Room plus the dining room for meals.The outdoor pool willl be open subject to weather conditions, and there is exclusive use of the crystal room, yoga yurts and labyrinths for our sessions.
  • All workbooks and printed materials supplied
  • 121 transformational coaching session
  • Massage session available for early bird and pay in full bookings
  • Exclusive Luxury Retreat ‘Conscious Care’ Welcome bag for use throughout the retreat!

The cost of your retreat experience does not include the following items:

  • Transport is not covered
  • Travel insurance if required

Unless stated otherwise, the price of your retreat experience includes each of the parts described within your booking confirmation invoice.

Payment Terms

  • We offer you two options to make payment:
Option 1:
  • £500 as a non refundable deposit paid via bank transfer to secure the booking, with the remaining balance to be paid 4 weeks before the retreat start date or via agreed payment plan with full parent to be made prior to 8th March 2024.
  • If the final balance is not received by the beginning of the retreat, we reserve the right to consider the booking cancelled, and you will not be refunded the deposit as a result.
Option 2:
  • Full payment in advance as agreed or if within the 8 week period prior to the retreat commencing.
  • Payments must be made via bank transfer in GBP to the following account or via payment link.

  • Please ensure to use the following booking reference as a payment reference: Your Name + Surname + UK April 24
  • Please send confirmation of any payments made to us at rachael@consciouscoachinguk.com.
  • We are not responsible for any fees incurred due to currency exchange or fees charged by your credit card/bank for processing funds in another currency.

Final Payments

For all retreats, the payment of the FINAL balance of the retreat price is due 4 weeks prior to the retreat start date in the currency advertised.

If a booking is made less than 4 weeks prior to the retreat start date, full payment will be required at your initial sign up to reserve your place on the retreat.

If the final balance is not received by the due date The Conscious Coaching Group reserves the right to treat the Client’s booking as cancelled. Any refunds will be made according to the Terms described above.

Cancellation by You

  • If you need to cancel your retreat with us, please notify us by email as soon as possible. The effective cancellation date will be when we receive your email notification.
  • If you cancel your booking within 14 days of the booking confirmation we sent you, you are entitled to a full refund, in line with current Consumer legislation.
  • If you cancel your booking more than 12 weeks before the start date of your retreat, we will retain 50% of any deposit paid, while the remaining amount will be returned to you.
  • If you cancel your booking within 8-12 weeks of the start date of your retreat, we will retain the full deposit while any other payments made will be refunded.
  • If you cancel your booking within 8 weeks of the start date of your retreat, you will forfeit the entire deposit and any other payments made.
  • There are no exceptions to this cancellation policy unless otherwise stated in this Terms.
  • We do not provide credit or compensation for guests who arrive late or depart early from their retreat.

Cancellations and Changes to the Retreat by Us

  • We reserve the right to alter the prices of any of the retreats shown on our website. You will be informed of the current price of the retreat you wish to book before your booking is confirmed. The total price you paid for your retreat experience will not be affected by any price changes after your booking is confirmed.
  • While every effort will be made to run the retreat as planned, we reserve the right to cancel the retreat at our discretion or change the retreat schedule or location. Under the rare circumstances that we have to cancel or change the schedule or location, you will be notified by email and offered either:
  • A spot in an alternative retreat that we believe would be suitable for you. Any payments already made will be applied towards the reservation for the alternative retreat. If the price of the alternative retreat is higher than what you have already paid, you will be required to pay the difference to secure your place. Conversely, if the amount already paid exceeds the cost of the alternative retreat, the difference will be refunded to you; or
  • A full refund or
  • Continue the retreat with new changes and pricing.
  • You are under no obligation to accept the alternative retreat place offered and can opt to take the full refund instead. We will not be liable for any compensation for expenses that you may incur as a result of the cancelled or rescheduled event.

COVID-19 POLICY

In these unprecedented times where COVID-19 restrictions have affected travel in the past, we understand you may have concerns regarding your booking with us. We have added the following clauses to our Cancellation Policy to reassure you:

  • If we cannot move forward with the retreat as a result of Covid-19restrictions and we have to cancel your booking, you will get a full refund.
  • If there is a travel ban from your country of origin to the retreat destination and you cancel your booking for this reason, you will get a full refund minus the deposit which can be moved to a retreat of your choice in the future.

Events Beyond Our Control (Force Majeure)

If we are unable to perform our obligations under these Terms due to circumstances beyond our control, we will not be held liable. This is known as a ‘Force Majeure Event‘. If a retreat must be cancelled due to such an event, we will refund all payments made by you minus the deposit which can be moved to a retreat of your choice in the future. However, we will not be responsible for any additional expenses incurred by you, such as travel arrangements or accommodation. Force Majeure will include, but not be limited to events that cannot be reasonably anticipated or controlled, such as a natural disaster (like an earthquake, flood, or hurricane), war, pandemic, epidemic, or fire.

Disclaimer

  • During the retreat, you will be provided with a nurturing space to contemplate and make decisions concerning various aspects of your personal life, work, education, health, and lifestyle. The responsibility for these decisions lies solely with you. While we offer guidance and support, the choice to take action or refrain from it entirely rests with you as an individual.
  • We strive to create an environment that fosters personal growth and development. However, specific outcomes or guaranteed success cannot be promised, as they are influenced by multiple factors. Your unique background, the effort you invest, and your personal dedication all contribute to the transformative process. We are here to assist and accompany you on this journey, but individual results may vary and might differ from your initial expectations
  • We are dedicated to delivering a valuable and rewarding retreat experience. In the unlikely event of any issues or concerns, our liability is limited to the amount you paid for our services at the time of the retreat. Please be aware that this limitation does not apply in cases of death or personal injury resulting from our negligence. Additionally, we cannot be held responsible for any exceptional or unforeseen damages, losses, or expenses incurred as a result of our actions or those of our employees or agents.

Responsibility for Loss or Damage to Personal Belongings

  • We are not responsible for any loss or damage to your personal belongings during the retreat. You are solely responsible for the safekeeping of your belongings and should take all necessary precautions to protect them. By attending the retreat, you acknowledge and agree to assume full responsibility for the safekeeping of your personal belongings.

Engaging with Others and Complaints

  • We want everyone to feel safe and comfortable at the retreat. You agree to be respectful and considerate towards others and avoid doing anything that may upset, bother or injure someone else.
  • We can ask you to leave the retreat if your participation is not safe for you or others. We will talk to you about it, allowing you to correct your behaviour if possible and decide whether you can continue or need to leave. If you have to leave, you will not receive a refund.
  • If you notice any bad behaviour or comments from another guest or have any complaints during the retreat, please tell us immediately.

Indemnity

  • You agree to protect us and not hold us responsible for any legal action taken against us because of any rule you break or any involvement you have in the retreat.

UK Foreign Office Advice on Overseas Travel

  • As part of your preparations for joining our retreat, especially if you are located outside of the UK, we encourage you to stay informed about your travel destination. The UK’s Foreign, Commonwealth & Development Office maintains a website with up-to-date travel advice, including information about local safety and health conditions. You can find helpful information there that could contribute to a safe and smooth experience during your stay with us.

Privacy Policy

  • Protecting your personal information is important to us. Our ‘privacy policy’ is available on request and explains what personal information we collect from you, including how and why we collect data, store, use and share such information, your rights in relation to it and how to contact us and supervisory authorities if you have a query or complaint.

Your Photos and Media

  • By attending the retreat, you permit us to use photos, videos, and other media of you taken during the retreat for promotional or commercial purposes. You agree that the media may be edited and you will not receive compensation for the use of your media. Please inform us before the retreat if you do not want your media used for promotional or marketing purposes.

Intellectual Property

  • All materials provided during the retreat or created by anyone during the retreat will remain our intellectual property and are not to be copied, sold, or distributed without our written permission.

Third-Party Service Providers

  • Third-party services providers may be responsible for some of the services during this retreat, such as the hotel accommodation, grounds and food.
  • These services will be governed by the terms and conditions set by those providers. We have no control over these terms, and it will be your responsibility to comply with them.
  • We are also not liable for any third-party information contained in any brochure or website which is incorrect.

Transferring This Agreement

  • We may transfer our rights under this agreement to another business without your consent, but we will notify you of the transfer and try to make sure that you are not adversely affected as a result.
  • You cannot transfer your rights under this agreement to anyone without our prior written consent.

Third Parties

  • No one other than us or you have any right to enforce any term of this agreement.

Severance

  • If any part of these terms becomes illegal, invalid, or cannot be enforced, it will not affect the rest of it. If a part of the terms can be made legal, valid, and enforceable by changing or removing some words, it will be changed or removed so that it can be enforced.

Giving up your rights

  • If one party (you or us) does not use their legal rights or powers or follow this agreement, it does not mean they are giving up those rights or powers, or that they can’t use them in the future. Also, if one party only uses part of their rights or powers, it does not stop them from using the rest later or using other rights and powers.

Governing law and jurisdiction

  • The laws of England apply to this agreement and any additional documents added to it. Any disputes will be subject to the non-exclusive jurisdiction of the English courts. This means that you can choose whether to bring a claim in the courts of England or in the courts of another part of the UK in which you live.

By participating in The Conscious Connection Retreat, you acknowledge and agree to abide by these terms and conditions.
